Privacy Policy for the BikeOffice app. Effective Date: 2026-10-27

Thank you for choosing BikeOffice! We value your privacy and are committed to ensuring transparency about our data practices. This Privacy Policy explains what information is collected and used by our app, as well as your rights regarding your personal data.

1. Information Collection and Use
Barcode scanning, catalog lookup and Label Mode list building work without an account. Your scans and lists are stored only on your device. Some features require an account (uploading a product catalog, part searches, stocktake and subscriptions). When you create or use an account we collect:

• Email address — to create your account, sign you in and contact you about it.
• Name — only if you sign in with Google or Apple and the provider shares it with us.
• User ID — the identifier of your account, used to link your data and purchases to it.
• Your product catalog file — the CSV or JSON file you upload, so your catalog follows your account to other devices.
• Part-search history — a record of each search, used to count your monthly allowance.
• Search photos — only if you allow it (see section 2): the photos you search for parts with, used to improve our image recognition.
• Purchase history — your subscription status, processed through RevenueCat, so the features you paid for are unlocked.

This data is stored with our backend provider Supabase and is transferred encrypted (HTTPS). We do not sell your data or share it with third parties for their own purposes; the providers named in this policy process it on our behalf.

2. Camera and Photos
The app uses your device camera to scan barcodes and to photograph bike parts, and it can access photos you choose from your photo library for part searches. We request camera and photo access solely to provide these features. Camera frames used for barcode scanning never leave your device.

• Derailleur hanger searches (the Växelöra tab) run entirely on your device; the photo is not sent anywhere to produce the result.
• Other part searches (Auto, Display and Rear derailleur) send the photo, reduced in size, to the BikeOffice server, which compares it with the parts catalogue using an image recognition service that processes it on our behalf. The photo is used only to produce your result.
• Improving image recognition (optional). The first time you search for a part, the app asks whether we may keep the photos you search with. If you allow it, each search photo is stored on our servers (Supabase), at no more than 1500 pixels a side, together with your user ID, the date and the kind of part you searched for, and we use it only to train and test BikeOffice’s own image recognition. It is never sold, published or used for advertising. Searching works exactly the same if you say no. You can change your choice at any time in Settings → “Share search photos for training”; turning it off stops further photos from being stored. To have photos already stored deleted, contact us at the address below, or delete your account. Please avoid including people or other personal information in the photos.

The legal basis for keeping search photos is your consent, which you can withdraw at any time without affecting the use of the app.

3. Analytics
We use PostHog, a third-party product analytics service, to understand how BikeOffice is used and to improve it. PostHog collects usage and event data (such as which screens and features you use), basic device information (an app-generated device ID, operating system version and app version) and in-app purchase events. When you are signed in, these events are linked to your user ID and email address. Your scanned barcodes, photos and saved lists are never sent to PostHog. BikeOffice does not contain advertising and does not use advertising identifiers or ad-tracking technologies.

4. BikeOffice web app
The BikeOffice tab opens our web app, app.bikeoffice.se, signed in with your account. Data you enter there is handled under the BikeOffice web app’s terms and privacy policy.

5. Data Security and Retention
Data is transferred encrypted and access to it is restricted to your own account. We keep your account data, including any search photos you shared, for as long as your account exists, and delete it when you delete your account.

6. Children’s Privacy
Our app is not directed at children under the age of 13, and we do not knowingly collect any information from children.

7. Your Privacy Rights and Account Deletion
You can delete your account and its data at any time, in the app (Settings → Delete account) or on our account deletion page. You may also ask us for a copy of your data, to correct it, or to delete the analytics data linked to your account, by contacting us at the address below.

8. Changes to this Privacy Policy
This Privacy Policy may be updated periodically to reflect changes in our practices or legal requirements. We will notify you of any significant changes by posting the updated policy within the app or through other appropriate means.
